Job Description
RTH Mechanical is seeking an organized and motivated HVAC Service Sales & Operations Coordinator to help grow our commercial service business while supporting the daily operations of the service department.
This position combines field sales, account management, preventive maintenance agreement management, and service coordination. The successful candidate will develop new commercial customers, maintain existing customer relationships, sell and renew preventive maintenance agreements, and help ensure that service calls, work orders, proposals, technicians, and customer follow-ups remain organized.
The position will sell HVAC, plumbing, and water treatment services using the capabilities available through RTH Mechanical and Duggan Mechanical Services.
Responsabilities
Develop new commercial contacts and customers through prospecting, referrals, networking, site visits, and consistent follow-up.
Build relationships with property managers, facility managers, building owners, general contractors, and other service decision-makers.
Sell HVAC, plumbing, and water treatment preventive maintenance agreements, repair services, replacements, and related service opportunities.
Manage existing preventive maintenance agreements, including customer contacts, equipment lists, scopes, pricing, scheduled visits, and renewal dates.
Proactively contact customers before agreement expiration to review service history, equipment changes, scope, and pricing.
Cross-sell additional services to existing customers and help convert time-and-material customers into preventive maintenance customers.
Conduct customer meetings and site walk-throughs and coordinate proposals, scopes, and pricing with service leadership.
Maintain an accurate sales pipeline, proposal follow-up schedule, customer history, and next steps in BuildOps or the company-designated system.
Support scheduling and coordination of service calls, maintenance visits, and installation work.
Create and update work orders, service tickets, customer records, equipment information, and supporting documentation.
Communicate with technicians and customers regarding schedules, job information, documentation, and service updates.
Track open jobs, proposals, customer concerns, and unresolved items through completion.
Assist with inventory tracking, parts ordering, data entry, filing, and general service-department workflow.
Preferred Experience
Commercial HVAC, plumbing, water treatment, facilities, or mechanical service experience.
Experience selling or managing preventive maintenance agreements.
Experience with BuildOps or a comparable field-service or CRM platform.
Experience reviewing equipment lists, service histories, maintenance scopes, and repair recommendations.
Existing commercial relationships in New Hampshire, Southern Maine, or northeastern Massachusetts.
